Maintenance Clerk
The Maintenance Clerk provides administrative support for the management of work orders, notifications, and maintenance activities within the work management system. This role ensures accurate processing, organization, and flow of maintenance information to support efficient department operations. Position Responsibilities: Work Order Management: Receive, review, and process incoming work orders from various departments; verify completeness, accuracy, and required details. Data Entry & System Accuracy: Enter and maintain work order data in the CMMS (SAP) system; ensure accuracy and consistency of maintenance records. Coordination: Work with maintenance planners, supervisors, and other departments to support timely execution and closure of work orders. Reporting: Generate reports on work order status, backlog, and performance metrics for maintenance leadership. Administrative Support: Provide general clerical support including document preparation, filing, and record management. Service Entry Processing: Process Service Entry Sheets and coordinate with Procurement and Accounts Payable to resolve invoicing issues. Work Package Preparation: Develop and distribute weekly work packets for maintenance execution teams. Database Management: Enter and track action items; update internal systems and department databases. Training Coordination: Schedule employees for required training and maintain training records. Safety & Compliance: Follow all site safety policies, procedures, and MSHA guidelines; ensure tasks are performed within assigned training and qualifications. Position Requirements: Required: High School Diploma or GED Minimum one (1) year of administrative experience Proficiency in Microsoft Office applications Strong data entry and recordkeeping skills Ability to manage multiple tasks and meet deadlines Strong written and verbal communication skills Ability to work effectively with cross-functional teams Valid driver's license (if required for site access) Preferred: Three (3) years of maintenance or mining administrative experience Experience with CMMS systems (SAP or similar) Familiarity with maintenance planning processes Experience with safety management system data entry Understanding of work order quality audits and reporting Work Environment / Physical Demands: Primarily office-based work environment Extended periods of sitting and computer use Occasional walking to operational areas May require interaction in active mining or maintenance environments Ability to manage multiple priorities in a fast-paced setting All candidates will be required to complete a pre-employment medical exam, drug and alcohol test, and background check.
